It is possible to share specific folders with associated files with users within the organization.
Users with administrator and observer permissions can always see all folders within the organization.
Manage permissions
To give permission to a user within the organization, click the icon with the three dots (···) to the folder that the user should have access to.
In the example below, the user should have access to a subfolder in "Document".
Select the "Manage access" option.
In the example below, the user should have specific access to the folder "Analysis" in the folder "Organizational documents". The user will then be able to access all content in the "Analysis" folder.
This view shows who has access to the selected folder and its contents.
To add a user, click "Add people" and select from the users within the organization. You can select several users at a time. Then, click "Share" to continue.
When a user has access to a specific folder and its contents, this view is displayed.
To remove a user from accessing a specific folder and its contents, click "Can read" and select "Remove access".
Inherited authority
A user can inherit permissions to a subfolder. This means that the user has access to the main folder and automatically gets inherited access to the subfolders and their contents within the folder. This is visualized by an icon next to the user's name, which also appears from which folder the user inherits access.
How can I use folder permissions?
An example of a person who may need authorization to access specific folders and associated documents is auditors, who need authorization to attend board meetings to review the board's work.
By giving the auditors access to the board meeting folder, they can access its contents but not the organization's other folders and documents.
