Create and share template:
(You only need to do this once.)
- Log in and select a board under "My organisations".
- Click on Meetings and then Agenda templates in the left menu.
- Create a new template by pressing the "Create template" button.
- Choose the name of the template, press the button "Add item" and fill in the title and minutes notes for each item. Finish by clicking “Save” at the bottom of the page when you're done.
- Go to Template Library by clicking on Tools and then Template Library in the left menu.
- Publish the template by pressing "Publish Template" and selecting "Publish" on the template you created. Fill in the fields marked with an asterisk.
- On "Visibility" select "Private". Click on “Publish”.
- For each board that will use the template, click “Private/Hidden Templates” and then click “Save” for the current template.
Create minutes:
- Click on "My organisations" and then select the current board.
- Click on "Meetings" and then "Plan meeting" in the left menu.
- Enter "Title" for the meeting. Click on “Save and continue”.
- Press the "Use" button for the agenda template you created.
- Click "Mark agenda as done".
- Click on "Skip sending invitations".
- Press "Write minutes".
- Choose a secretary and an adjuster. Also select people as signatories. Click on “Comments and review”.
- Click on "Mark minutes as done".
- Click "Mark as reviewed" at the bottom.
- Click "Approve" at the bottom.
- Now the minutes must be signed by those specified as signatories, once done the minutes is automatically archived. If you do not have an e-signature of the minutes, then print the minutes, sign, scan in, upload and click "Mark as signed".
- Repeat for each board.
Create a template
1. Click on Meetings and then Agenda templates in the left menu. Create a new template by pressing the "Create template" button.
2. Choose the name of the template, press the button "Add item" and fill in the title and minutes notes for each item if necessarily. You can also set time estimate and item type. When you're done, press the "Save" button
Publish template
3. Click Tools and then Template Library in the left menu. Publish the template by pressing "Publish Template" and selecting "Publish" on the template you created.
4. Fill in the starred fields. On "Visibility" select "Private". Then click on “Publish”.
Share template
5. For each board that will use the template, click “Private/hidden Templates” and then click “Save” for the current template.
