To change the meeting number, start by going to the relevant meeting and clicking on the "Plan" tab. Under the heading "Meeting number" fill in the desired meeting number.
Finish by clicking “Save” or “Save and continue”.
About numbering in Boardeaser
In Boardeaser, all meetings run in a series, so there can only be one meeting No. 1. A meeting can also only be a number, i.e. you cannot write, for example, 2020-1. If you want, you can "jump forward" in the numbers between years when you enter the meeting numbers like this:
Specify that the first meeting in 2021 should be numbered 202101, 202102, 202103 and so on. The following year, you must then remember to specify that the first meeting should have the number 202201 and then 202202, 202203... The system will warn that there will be a gap in the numbering between, for example, 202110 and 202201, but this can be ignored.
Another option is to let Boardeaser's numbering continue but clarify in the title of the meeting by calling the first meeting next year for example "Board meeting 2020-1"
The reason is our interpretation of the Swedish Companies Act ch. 8. Section 26:
"The board's minutes must be kept in numerical order and stored in a safe manner."
Adjusted but not approved protocol
The step after adjustment is Approval, on this step there is the choice to either click "Approve adjusted protocol" or "Request changes". Click on "Request changes" and the meeting will go back one step and the numbering can be changed. Then go to the protocol and click on “Adjust and Lock”.
Change the number of unlocked protocol
Once the protocol has been unlocked, users with the Authorization level Administrator can change the number, choose to skip adjustment and approve the protocol. Then it needs to be signed again to be archived.
