This functionality requires the Financials and KPI Analytics add-ons.
Graphs can be created from accounting data, budget data, data from Google Analytics or custom data variables (also called key figures and KPIs in Boardeaser). You can enter single data sources as they are or formulas with different data sources combined (click here to read more about formulas).
The graphs can then be inserted into reports or on your dashboard.
New Graph
Go to "Financials" > "Analyze" in the left menu and click on the button “New Graph” to create a graph.
You will now see this view:
First, enter Name (what the graph is called in the system) and Title (the heading of the graph).
Resolution is the time unit on the x-axis (if unsure, leave it as Month). The resolution can be day, week, month, quarter, year or fiscal year. If you are going to add data from Google Analytics, it is important that you specify the same resolution as the analytics data.
You build the graph by entering one or more formulas in the field under "Add data source".
Here are some examples of formulas:
- An account: -{3001} shows the value of account events on account 3001
- A range of accounts: -{3000-3099} returns the sum of all account events from account 3000 to 3099 per time unit
- Accumulated values: Ack(-{3000-3999}) gives the accumulated value or fiscal year of all revenue accounts (account 3000 to 3999)
- Budget data: Budget(-{4000-7999}) gives the change in expense accounts summed up from the uploaded budget
- Key figure: Simply write the name of the data variable (the key figure), e.g. “chairs” if that is how the key figure is named
- Analytics data: If you know the name of the variable, write it, e.g. "SessionDuration", otherwise click on the variables below
You can also browse variables in the folders when you click on the data source field. The names with a + box are folders and B1, B2 etc are variables from the accounting. In this example, there are three folders:
- Default: contains your own key figures (uploaded from the KPI template)
- Functions: contains functions that can be used on formulas
- Accounts: contains variables corresponding to accounts in your sie4 file
Click on a variable or formula and then on “Add”. You now see a preview on the right of the graph based on the data you entered.
More settings
- Layout: Here, you can change specific things on the graph such as the type of unit, how many decimal places and number scaling.
- X/Y-Axes: Here, you change the X/Y axes.
- The X-Axes allow you to change the time span and there is Auto, Relative and Fiscal Year
- Relative: Specify how many years before and after the last uploaded accounting data to be displayed on the x-axes
- Fiscal Year: Enter how many years prior to the current (current) year to display on the x-axes
- Y-Axes:
- Can be changed from Auto to custom, and then you can set min and max values for the y-axes.
- The X-Axes allow you to change the time span and there is Auto, Relative and Fiscal Year
- Title/Comment: Here, you can change the graph title and write comments about the graph.
