This functionality requires the Financials and KPI-Analytics add-ons.
Generally
You can create report tables from accounting data, budget, and key performance indicators (KPIs), just as you can with graphs. The report tables can then be used in dashboards and reports.
The basis of Boardeaser's report tables is that formulas are entered in the rows, and the columns control the time units. The formula's result for the respective time unit is displayed in the cells.
Expand rows
When viewing the report table (in a dashboard or report), all rows can be expanded by clicking on the plus sign on each row. The formula is displayed account by account when the row is expanded.
Create report table
Go to "Financials"> "Components" in the left menu. Under the "Report tables" tab, click the "New Table" button to create a report table.
After you have created a report table, this view shows.
You can create a new table or start from an existing one. To start from an existing table, select it in the "Select table" list, click the icon with three dots on the right, and click "Create copy."
If you want to create your table, you can start by clicking on "Settings". There, you can name the table. Enter a title and any subheading. If you want only to be able to edit the table, click on "Private" under "Visibility".
Manage rows
Click "Add row" to create a row, or click the pencil on a row to edit it.
Title
Enter what the line should be called.
Formula
In the "Formula" field, enter the formula for the row. You can use data from the accounting, budget, and key figures (KPIs) in the formula. You can enter only one variable (e.g., a single account from the sie4 file) or a more advanced formula with several variables. See examples below.
For example, enter -{3000-3999}. Then, you include all accounts between account numbers 3000 to 3999. The same principle applies to whichever account range you specify. Click here to read more about Formulas.
Empty row
Check this option to create only a blank row. This is useful when you want a "header" without any data.
Expand accounts
Check this option to expand the rows from the start.
Show future and incomplete data and zero rows
If future data is activated, the data is displayed even after the set date ends (in the report or on the dashboard). Incomplete data shows data that the system otherwise judges as incomplete (e.g. the current month's accounting data).
Unit
Choose from these devices:
- Auto
- Currency
- %
- None
- Custom (specify device)
Text style and margins
The text style can be standard or header, and the margins can be affected above, below, and Left (indent). A heading means that the text will be bold.
New Summary
Summation is a row type that automatically sums up other selected rows. Click on "Summarization" and choose which rows are to be summed.
Compare with table
If you want to see an already saved table (e.g. income statement or balance sheet) as a reference, select the table you want to look at in the list at the bottom right. This table is not saved but is only supported when editing your table.
For a row to be complete with data, you need a column.
Manage columns
The columns are always time units in Boardeaser.
Click "New Column" to create one or more columns, or click the pencil to edit an existing column. You can specify the following for the column:
Title
Enter the title of the column. This is what will be the heading above the column or columns.
Interval and resolution
Interval is the period to which the data should relate and can be Year, Tertial, Quarter, Month, Week, Day, Calender year or Relative. The resolution can be a Year, Quarter or Month but never longer than the Interval. This means that if the Interval is a Quarter, the resolution cannot be a Year. If the Interval is a Month, the resolution can only be a Month.
If you choose Month or Quarter as the resolution, 4 and 12 columns are created for these, respectively.
Accumulated, Show future and incomplete data
Check Accumulated to display accumulated data in the column. For example, if you entered Interval: Year and Resolution: Month, the formula will give the accumulated value during the year with Accumulated crossed out; otherwise, the value will be displayed month by month.
Select "Show future data" to display budget and other future data; otherwise, only data up to the date the accounting data extends is displayed.
Select "Show incomplete data" to display accounting data for months that have yet to be completed, such as the current month.
Column formula
You can choose from several column formulas to apply to the results of the formula specified in the row. The column formulas available are:
- Budget: Applies the row's formula to the budget data instead of the accounting data
- Budget diff: Returns the difference between the budget data and the accounting data for the formula
- Budget %-diff: Gives the difference between budgeted value and outcome expressed as a percentage
- Previous Year: Applies the formula to the last year's data
- Previous year diff: Returns the difference between the last year's value and the latest value
- Previous year %-diff: Gives the difference between the last year's value and the latest value expressed as a percentage
- Forecast: Displays budget data after accounting data ends
- Opening balance
- Opening balance the fiscal year
- Eliminations
- Custom: Here, you can enter your own Meta-formula. For example, "Prev(RowFormula)" gives the previous period's value for the formula.
Unit
The auto-selected device Auto is pre-selected. Otherwise, you can select another one from these:
- Auto
- Currency
- %
- None
- Custom (specify device)
