This guide explains how to add users to the organisation and the considerations regarding roles. Click on the headings below to read more about a specific section or go through the guide from top to bottom.
Standard roles
There are three standard roles in Boardeaser:
- Administrator: Administrators have full access to all parts of the organisation and can see and do everything within it.
- Observer: Users who are observers can see everything within the organisation but can only do things specifically assigned to them.
- Limited: Users with the role limited can only see and do what is specifically assigned to them. Users without other roles are assigned this role by default.
In short, the Administrator role is intended for users who will actively administer the organisation, i.e., create meetings and reports, upload documents, invite people to the organisation, change organisation settings, etc.
For users who should be able to see all your organisation's material, but without edit rights, there is the Observer role. This permission is suitable, for example, for an auditor or board members who should not create meetings.
The lowest role is Limited; with this permission, the user cannot edit or read anything other than what is specifically assigned to them. This permission is suitable, for example, for someone who is an adjunct at recurring board meetings or is only to read an assigned report.
A restricted user assigned as secretary to a meeting will be able to manage and write the minutes.

In addition to the above standard roles, there are also:
- Alternate: Board function: grants no permissions.
- Auditor: Reads and edits the organisation's annual reports
- Board member: Board function: grants no permissions.
- CEO: Reads and edits finance and reports
- Chairman: Board function: reads and edits finance and reports.
- Co-chairman: Board function: grants no permissions.
- Contract administrator: Reads and edits the organization's contracts
- Financial Manager: Reads and edits finance and reports
- Management: Grants no permissions, but can be used to label the management team
- Secretary: Board function: grants no permissions.
It is possible to assign multiple roles to users. You cannot lose permissions by adding a role; permissions are added on top of existing roles. If you combine Administrator and Limited, the user will still be able to administer the entire organisation.
Note: A person who only has the role of board member, management, secretary, auditor or co-chairman is equated with the role limited and will, for example, not be able to access agendas unless the agenda is specifically assigned to the person.
The roles Financial Manager and Contract Manager
In addition to standard roles, users can be assigned roles that grant them administrator permissions across different areas.
Financial Manager
The Financial Manager gives the user administrator permissions to Financials and Reports (if the organization has the Financials and Reports products enabled).. Users with the Financial Manager role can always access the Financials and Reports tabs, regardless of permission level.
Financial Managers also have access to Group and Integrations (if the organization has the Group product activated) under Administration in the left menu.
The combination Role: Financial Manager and Restricted grants a user full access to Financials, Group Financials, and Reports in the left menu. The combination also provides the user with full access to Integrations and Groups under Administration.
For other menu options, restricted permission applies.

Contract Manager
The Contract Manager gives the user administrator permissions on Contracts. Users with the role Contract Manager can thus always access the Contracts tab, regardless of permission.
The combination Role: Contract Manager and Restricted gives a user full access to Contracts under the left menu, allowing them to view contracts and create new contracts.
For other menu options, restricted permission applies.
