It is possible to grant users with the role: Limited, access to selected folders and associated files.
Please note that users with the administrator and observer roles can always see all public folders within the organisation. It is possible to create private folders to which permissions can also be assigned, as shown below. In the example below, the user will be given access to a subfolder in "Documents".
It is also possible to assign permission to a main folder.
Add access
To grant access to a user with the Limited role, click the icon with three dots (···) next to the folder the user should have access to.
Select the "Manage access" option.
In the example below, the user will be specifically granted access to the "Analysis" folder within the "Documents" folder. The user will then be able to access all content in the "Analysis" folder, including underlying folders and files.
This view shows who has access to the selected folder and its contents.
To add a user, click "Add people" and select a user from the organisation. It is possible to select multiple users at once. Continue by clicking "Share".
When a user has access to a specific folder and its contents, this view is displayed. When a user is granted access to a folder, read permission is initially assigned.
Change permission
Set whether the user should only be able to read the contents of the folder or if the person should be able to edit the folder by clicking "Can read" and selecting "Can edit".
Remove permission
To remove a user's access to a specific folder and its contents, click "Can read" and select "Remove access".
Inherited permission
A user can inherit permission to a subfolder. This means the user has permission to the main folder and automatically inherits access to its subfolders and their contents. This is visualised by an icon next to this user's name, which also shows which folder the user inherits access from.
How can I use folder permissions?
An example of a situation where a person may need permission to specific folders and associated documents is auditors who, to review the board's work, need permission to access board meetings.
By granting auditors permission to the board meetings folder, they can access its content, but not the organisation's other folders and documents.
