This guide shows how to delete meetings and their associated meeting folders in the system.
⚠️ Permission requirement: You must have the role of Administrator to be able to delete meetings.
How you proceed depends on whether the meeting is active or archived.
Delete an active meeting
Click Meetings > All meetings in the left menu.
Find the meeting you want to delete, click the three-dotted icon (···) and select Remove.
Follow the on-screen instructions to confirm, then click the Remove button.
Delete an archived meeting
If the meeting is archived, the minutes must first be unlocked before the meeting can be deleted. This requires approval from one or more members.
Step A: Request unlocking of the minutes
Click Meetings > All meetings in the left menu.
Click the Archived meetings tab.
Click View archived minutes for the meeting to be unlocked.
Click the three-dot icon (···) at the top right, then select Unlock.

Select which members will approve unlocking (the system requires at least two members by default, but this may vary depending on your organisation's settings).
Tip: If you select yourself, your approval counts immediately.
Click Send.
Step B: Approve the unlocking
Selected members navigate to the Archived meetings tab and click Approve to accept the unlocking for the specific meeting.
Step C: Delete the meeting
Once all selected members have approved unlocking the meeting, it is automatically moved back to the Active meetings tab.
Go to the Active meetings tab.
Click the three-dot icon (···) on the meeting and select Remove.
Confirm the deletion by following the instructions and clicking Remove.
Delete the meeting-related folder
When a meeting is deleted, the associated meeting folder still remains in the document archive. If you want to remove this as well, do the following:
Click Documents > All documents in the left menu.
Click the Board meetings folder.
Find the deleted meeting's folder (it no longer has a padlock icon).
Click the three-dot icon (···) on the folder and select Remove.
