To change the meeting number of an archived meeting, the minutes must first be unlocked. If the minutes have already been signed, they need to be re-signed by all members in connection with the unlocking.
View archived meetings
First, click "Meetings" and "All meetings" in the left menu.
Click on the "Archived meetings" tab, select which meeting to edit and then click the "View archived minutes" button for the specific meeting.
Unlock archived minutes
Click on the icon with the three dots (···) and select the "Unlock" option.
Send unlock request
Upon unlocking, all members who have already signed the minutes will need to sign the minutes again.
Select the members who should be able to accept the minutes' unlocking. Then, click "Send" to continue.
You will automatically approve the unlock if you select yourself.
Accept archived minutes unlock request
The people who received the unlocking request need to click "Approve" for the minutes to be unlocked.
The unlock request is found for specific meeting under the "Archived meetings" tab.
Unlocked minutes
Once the minutes have been unlocked, you can edit the meeting information and change the meeting number. Click the "Edit meeting information" button in the "Preparations" tab.
In this view, you can change the meeting number. Save the changes by clicking "Save" or "Save and continue".
When the meeting number has been changed, you can click on the "Minutes" tab and then the "Comments and review" button.
Mark minutes as done
Click the "Mark minutes as done" button.
Mark minutes as reviewed
Click the "Mark as reviewed" button to proceed.
If you wish to send the minutes for review, click "Send to review".
Approve minutes
Click the "Approve" button to approve the minutes and take it for signature.
E-sign minutes
It is now possible to e-sign the minutes again. Sign by clicking the "Sign" button. Remind if necessary via the "Remind" button.
When all signatories have signed the minutes, the meeting ends up under "Archived meetings".
