Create a budget/forecast
Go to Financials/Group Financials > Budget, depending on the level at which it should be created.
Click Manage budget, then on the New budget button. Budgets and forecasts are created in the same way.
If the budget is for an individual company, you can create it per business area from the dropdown menu in the box that appears. If you do it for the group, you can also create a budget for group data within one of the group companies.
Then select the budget year and Budget type (budget or forecast).
Click "Next" and choose whether it should be active. You can also change the name and add a comment here. For more information about tags (used in formulas, see How do I add budget or forecast data to tables and graphs?), leave blank if you do not specifically need this.
Then click "Save". Choose to export to Excel or Google Sheets.
Here, you can choose where the suggestion should fetch data from.
If you select "Accounting", you will get a suggestion based on last year's accounts.
By selecting “Accounting and budget”, you get a suggestion with this year's actuals and this year's budget (or forecast, if that is what is being created) for the remaining months.
If you select "Merge budget for subsidiaries/business areas", you can choose which companies or business areas the suggestion should be based on.
Then select the growth rate if desired.
Click "Download" to get your budget/forecast.
Open the Excel sheet created and make any necessary adjustments. To re-import your budget/forecast into Boardeaser, click on "Upload budget file" next to the "New budget" button.
Actuals + budget for the current year
NOTE! To be able to create a forecast based on actuals + budget for the current year, you must be in the period with the last day of the financial year, in order to include figures in the automatically created forecast. The accounts must also be imported up to and including the last day of the month for which the actuals are to be calculated, as the system cannot mix actuals and budget in one period.
See the example below: to include data for 2024, you must select the period December 2024 before clicking the "New budget" button.
NOTE! If there is an active forecast for the financial year, the system will fetch data from it rather than the active budget. Therefore, check which figures are in any active forecast, and if they are incorrect, either delete the forecast or set it as inactive.
Active budget/forecast
The budget or forecast marked as active in the system is automatically used in standard reports and graphs. You can have as many inactive budgets and forecasts as you like, but only one active budget or forecast at a time. For each company and business area, however, you can have one active budget and one active forecast at.
To change which budget/forecast is active, see below under "edit an existing budget/forecast" for how to edit and then tick "active budget" or "active forecast" for the one that should be active instead.
If you create your own graphs and tables, you can also select inactive budgets/forecasts for comparisons; you select the budget in the column by clicking on Column formula Budget and then Select budget.
Edit an existing budget/forecast
To download a new Excel file, click on "Download budget".
When you have downloaded the budget, you can edit it directly in the file. Here, you can make changes at both the account and interval levels. Choose to insert a row between accounts to ensure the totals are included.
It is important to add the account within the interval that matches its account group. For example, add 5020 in an interval that contains 50xx accounts. Otherwise, the totals will not match when importing.
See also the guide Work with budget/forecast in Excel. In this guide, you will also find information on how to extend the number of months in a budget if you have an extended financial year, as the budget function only generates 12 months automatically.
To upload the edited budget, click on "Upload budget".
Change the name or status of an existing budget/forecast
To update the information, select the desired budget/forecast, and then click on the three dots next to "Download budget". Select edit and update the box below.
Here, for example, you can change the name or add your own tags to your budget.
For further information on using tags, see the guide "Use budget/forecast in a formula for components using a tag."
Click Save to confirm and update the information.
Delete a budget/forecast
If you want to delete an existing budget, click on Financials > Budget in the left menu. Under the Manage budget tab, you will find all the budgets you have created.
Click on the budget you want to delete and then on the icon with the three dots (···) to the right of the "Download budget" button and select the "Delete" option.
