Overview: Document archives in Client Manager
Unlike a standard boardroom, Client Manager has three different types of document archives, depending on who should have access to the files:
- Shared Client Manager document archive: Available to all users invited to Client Manager.
- Internal documents (per organisation): Only visible to Client Manager users. Perfect for working materials that the customer should not see.
- Shared documents (per organisation): Shared directly with the customer's boardroom so that invited users in the organisation can read and download the files there.
1. Shared document archive in Client Manager
This archive serves as the agency's shared document area for everyone invited internally to Client Manager.
Go to Documents > All documents in the left-hand menu.
Private folders: You can create private folders in the shared archive where you control exactly which Client Manager users have permission to read and edit the content.
2. Document archive for a specific organisation
For each individual organisation connected to Client Manager, there are two dedicated document archives.
Path: Go to Organisations > All organisations in the left-hand menu, click the Organisation name and select the Documents tab.
Internal documents
The Internal documents tab contains files that should only be available to users in Client Manager. No user in the customer's organisation can see these files.
Tip! You can also create private folders within internal documents to restrict access among the agency's own users.
Shared documents
The Shared documents tab is mirrored directly in the customer's boardroom. When you add files here, a folder is automatically created in the organisation's own document archive (with the name of your Client Manager).
- Users in the customer's organisation have read-only access (they can read and download, but not edit or delete the files).
- You can create private folders in shared documents to control which specific users in the customer organisation can view the content.
3. Trash can and restoring documents
If you delete a document from a connected organisation, it moves to Client Manager's trash can. From there, you can restore the PDF version of the document or delete it permanently.
How to restore a deleted document:
- Go to Administration > Trash can in the left-hand menu in Client Manager.
- Find the document in the list and click the Restore button.
What happens when you restore?
When you click restore, a new folder called Restored documents is automatically created in the relevant organisation.
To find the restored document:
- Go to the specific organisation.
- Click Documents > All documents in the left-hand menu.
- Open the Restored documents folder.
