This guide describes how to manage roles and permissions in Client Manager. Learn how to add administrators for the entire Client Manager, set dedicated administrators in individual organisations and invite users to customers' boardrooms.

1. Overview: Roles and permissions
In Client Manager, there are two different levels of permissions: permissions in Client Manager itself (the agency's overall tool) and permissions in the individual organisations (the customers' boardrooms).
Administrator roles in Client Manager
When you add a colleague as an administrator in Client Manager, you choose one of the following standard roles:
- Super administrator: Has full access to administer the entire Client Manager and all connected organisations.
- Administrator: Can administer all connected organisations (create, edit and remove connections), but cannot change the basic settings for Client Manager itself.
- Limited: Can only administer the specific organisations to which the person has been assigned.
Organisation roles and custom roles
- Organisation roles: Determine what a user is allowed to do in a specific boardroom (for example, administrator, observer, chairperson, auditor). See the guide Standard roles in organisations.
- Custom roles: You can also tailor your own roles both for Client Manager and for individual organisations. See the guide Custom roles.
2. Manage administrators in Client Manager
Add a new administrator
- Go to Administration > Administrators in the left-hand menu.
- Click the New administrator button in the top right.
- Enter the contact details and select which Client Manager role the user should have.
- Select which organisation or organisations the user should be an administrator in.
- Click Create administrator.
Change the role or settings of an existing administrator
- Go to Administration > Administrators in the left-hand menu.
- Click the three-dot icon (···) to the right of the person you want to change and select Edit.
- Update the Client Manager role or organisation connections.
- Click Save.
3. Display an administrator in the organisation's user lists (dedicated administrator)
By default, Client Manager administrators work "above" and are not automatically displayed in the customer organisation's user list. If an administrator needs to be invited to meetings, assigned responsibility for reports, or displayed under "My organisations", set the person as a dedicated administrator.
How to set up a dedicated administrator:
- Go to Organisations > All organisations in the left-hand menu.
- Click the three-dot icon (···) to the right of the organisation and select Edit.
- Click the Administrator settings button.
- Tick Display in user list for the administrators you want to display in the organisation.
- (Optional) Select a specific organisation role for the administrator (standard role or custom role).
- Click Save.
4. Invite users to organisations via Client Manager
Use this function when you want to invite users (for example, board members, auditors or external customers) to one or more organisations at the same time.
- Go to Users in the left-hand menu.
- Click the Invite users button.
- Select one or more organisations in the list that the user should have access to.
- Enter the user's contact details.
- Select which role the user should have in each organisation.
- Click Invite.
